Tracking Insurance Certificates is a mission critical process for every Property Manager.
Staying on top of the details is time consuming, yet necessary to mitigate risk.
Utilizing content management and workflow automation tools, EWA Software Solutions has streamlined this important process; each insurance certificate is touched only one time. The certificate is simply scanned and indexed into the pVault document repository by Paperless Environments; from this point forward, four processes happen automatically:
30 Day Reminder Notice to Tenant
A letter is automatically produced for every Tenant thirty days prior to their insurance expiration date. Letter includes insurance type and expiration date.
14 Day Reminder Letter to Tenant
At fourteen days, an email is sent to each Tenant reminding them that their insurance is expiring and providing your instructions for updating their certificates.
Report on Insurance Certificates Expiring
A report listing all insurance certificates expired or expiring within fourteen days is produced and emailed to your Property Managers. This report lists each tenant, their phone number, address and unit number, type of insurance, and expiration date.
Update Insurance Expiration Fields in Business System
Tenant insurance expiration dates in your property management system are updated when new certificates are scanned and indexed into pVault.
